Compare

Buy it once, or rent it monthly?

Desktop petrol pump software with a one-time licence looks cheaper and sometimes is. The comparison that matters is not the price — it is what happens on the day the office computer stops working.

The comparison is not about price

A one-time licence and a monthly subscription are easy to compare arithmetically and the arithmetic is usually not the deciding factor. Over five years the totals often land closer together than either vendor suggests, once annual maintenance, upgrades and support on the desktop side are counted.

The real differences are three, and none of them appears on a price list: where the data lives, who can reach it, and what happens when the machine holding it fails.

Where the data lives

Desktop software keeps its database on one computer, usually in the outlet office. That has a genuine advantage — it works with no connection at all, which at a rural site is decisive.

It also means the data exists in exactly one place. A failed hard disk, a stolen machine, a fire in the office, or a ransomware infection takes the entire history with it unless somebody has been taking backups off-site and, crucially, testing that they restore. Most outlets are not.

Cloud software inverts both properties. It needs a connection to save an entry, which is a real limitation. In exchange the data is not in the building.

Ask the backup question honestly

When did you last restore a backup and confirm it worked? A backup nobody has restored is a hypothesis, not a backup — and this is the single most common way a desktop-run outlet loses years of history.

Who can reach it

Desktop software is used by whoever is sitting at that computer. In practice that means one person in the office types up what everyone else wrote down, which reintroduces exactly the delay that reconciliation is supposed to remove — the entry happens after the shift has gone home.

It also makes a second outlet genuinely awkward. Two installations are two databases with no way to compare them, and an owner who wants both sets of numbers has to be handed two exports.

Who should choose which

Plainly, and including the case where the answer is not this product.

  • Genuinely unreliable connectivity, one outlet, one person doing entry — desktop, and take backups off-site and test them.
  • Entry happening at the forecourt, several shifts, or more than one outlet — cloud.
  • A group of outlets under one owner — cloud, decisively. Comparing outlets is the whole reason to have a group view.
  • Worried about a subscription lapsing — the honest answer is to check that the vendor lets you export everything at any time. PumpDesk does, to Excel and PDF, over any range.

Frequently asked questions

What happens to my data if I stop paying?

The account pauses rather than being deleted, and your data stays exportable. Every report exports to Excel and PDF over any date range, so history is never held hostage behind an active subscription.

Is cloud software safe for business data?

The relevant comparison is against the alternative, which is usually an office PC with no tested backup and a shared Windows login. PumpDesk stores data in a managed Postgres database in the Asia-Pacific region, served over HTTPS only, with every authorisation check performed on the server rather than in the browser.

Can I use it without internet at the pump?

Not today — an entry needs a connection to save. If your connectivity is genuinely intermittent, that is a real constraint and worth testing during the free trial rather than discovering afterwards.
